Poster Expo – FAQs


KEY DATES 

Presenting authors must register and attend the full conference in person.  Those who do not register by April 15, 2025 will be removed from the abstract program, including publication in the journal of APNM.  Authors are encouraged to register by March 25, 2025 to take advantage of early-bird registration rates.

POSTER PRESENTATION DETAILS

Abstract award recipients, including Oral/Poster competition finalists and those selected for Flash Presentations, will receive further instructions regarding their poster presentation format in mid-to-late March.

On-site Posters: Mandatory Participation

The on-site Poster Expo will  open from Friday May 9 early morning through Saturday May 10 late afternoon.  Presenting authors of accepted abstracts are required to participate in the on-site Poster Expo during designated viewing times. A printed poster is a mandatory requirement. Presenting authors are responsible for preparing and bringing their printed poster or poster(s) in large print format to be shared on poster boards at the Hotel Bonaventure Montreal. Poster presenters are encouraged to monitor their posters for delegate traffic during all viewing periods.  See program for specific viewing periods.  

Poster Size: The poster size must not exceed 3.5 ft (42 inches) x 3.5 ft (42 inches). The poster may be smaller, but not larger. Posters that are larger will not be accommodated. There will be up to 4 posters per board.

Virtual Poster Expo: Optional

Participation in the Virtual Poster Expo is optional but highly encouraged, as it provides extended visibility of your poster and opportunities to engage with delegates. The expo will run from Wednesday, April 30, 2025, to Friday, May 23, 2025, with regular promotions throughout this period. Delegates and authors can connect via email to discuss research or arrange meetings during the conference.

New for 2025 - CNS is introducing a VIrtual Poster Expo People’s Choice Award. Delegates will be able to vote for their top 10 posters showcased in the Virtual Poster Expo using voting buttons. Stay tuned for more details on how to participate! 


1. As a presenting author, how do I indicate my interest to participate or decline the opportunity to participate in the Poster Expo?

Presenting authors will receive an email on or before March 12, 2025 from CNS Annual Conference 2025 with the subject lline 'CNS-SCN Conference 2025 Participation Request.' This email will contain a link to your unique abstract portal, where you can confirm whether you accept or decline participation in the Conference 2025 Poster program. Further instructions for accepted authors will also be included. Authors must respond to indicate their acceptance by March 21. Those who do not respond or decline by this date will be removed from the abstract program.


2. I didn’t receive the Participation Request email on March 12 (or March 17 for late-breaking abstracts).

Please check your junk, spam, or promotions folder. Notifications were sent to the email address used for abstract submission, which is the same email associated with the presenting author’s CNS membership profile. If you still cannot find the email, please contact abstracts@cns-scn.ca


3. What if I decline the opportunity to participate in the Poster program?

If you decline or do not notify CNS by March 21, 2025, you will be removed from all Poster program communications and your abstract will not be published in APNM. Please note that the abstract submission fee is non-refundable.


4.  How do I access and manage my abstract portal for the Virtual Poster Expo?

A link to each author's unique abstract portal will be included in the CNS-SCN Conference 2025 Participation Request email, sent on or before March 12, 2025 (or March 17, 2025 for late-breaking submissions). Please bookmark this link for easy access since authors can return to their unique portal multiple times to upload or edit materials, even after confirming their participation. 

Presenting authors wishing to include their abstract in the Virtual Poster Expo should upload the required materials to the abstract portal by April 25, 2025, 11:59 PM ET.

5. When do I need to register for the conference?  

Authors are encouraged to register by March 25, 2025 to take advantage of early-bird rates. The final deadline to register is April 15, 2025, 11:59 PM ET. Abstract authors must register for the full two-day conference. Those who do not register by this deadline will be removed from the abstract program.


6. Are the abstracts published?

Participating abstracts will be published in the journal of APNM in the spring of 2025. Authors who do not register for the CNS Annual Conference will be removed from APNM. The link to the APNM published abstracts will remain on the CNS website after the Poster Expo has closed. These abstracts can be accessed by CNS members at https://cns-scn.ca/resources/conference-presentations-and-abstracts.  Late-breaking abstracts will not be published in APNM.


7. Is there a cost to participate in the virtual and on-site Poster Expos?

The abstract submission fee ($50.00 CDN +tax) that was charged at the time of the abstract submission covers the APNM publication fee, virtual expo portal development, and on-site poster display boards. All accepted authors must register to attend the full CNS Annual Conference by April 15, 2025, 11:59pm ET. Those who do not register by April 15 will be removed from the abstract program.  Authors are encouraged to register by March 25, 2025 to take advantage of early-bird registration rates.


8. If I decline the opportunity to participate in the on-site poster expo, will my abstract still be published in the journal of APNM?

No, your abstract will not be published in APNM if you do not participate in the on-site poster program.


9. What are the technical specifications for the virtual Poster? 

10. Will visitors be able to download my virtual poster?

Yes posters can be download posters to view in the visitor's browser window. They can also take screen shots of the Poster when viewing. We encourage each author to include a copyright statement on their poster before uploading. Sample copyright text:  Publishing Date: May 2025. © 2025. All rights reserved. Copyright rests with the author. No part of this abstract/poster may be reproduced without written permission from the author.


11. How can I prevent copying, editing, or printing of my virtual poster?

It is possible to configure your PDF poster to restrict users from printing, editing, or copying its content. These settings must be applied by the author before uploading the poster. To set these restrictions, follow the instructions for creating a Permissions password: Adobe Help: Securing PDFs with Passwords. Using a Permissions password, you can prevent others from printing, editing, or copying content from the PDF. Do not set a Document Open password (also known as a user password), which requires a password to open the PDF. Poster viewers should be able to open the document without a password. Please note that these steps will not prevent users from taking screenshots.


12. Can visitors to the Poster Expo ask questions or start discussions with authors outside of the dedicated viewing times?

Yes. Email contact information for poster authors will be available within the Virtual Poster Expo, allowing delegates to connect directly with authors to discuss specific research or to connect beyond the dedicated viewing times. Authors and interested delegates can arrange 1:1 meetings independently, without CNS involvement. Additionally, delegates will have the option to engage with authors virtually through a chat widget within the Virtual Poster Expo.


13. When will the Oral Competition take place? 

The Oral Competition will be held on Friday, May 9, and Saturday, May 10. See the program for details. Selected finalists will be notified of their specific presentation date and time. The top three recipients will be announced at the CNS Annual Awards Banquet on Saturday, May 10. Oral Finalists are encouraged to upload materials to the Virtual Poster Expo, where they will be featured at the top of the Expo webpage. Finalists may also choose to display a printed poster at the on-site Poster Expo.


14. When will the Poster Competition take place?

The Poster Competition will be held during one of the designated poster viewing times. A panel of judges will visit the eight finalist posters individually where finalists can present their research. Finalists will be notified of their specific presentation day and time. The top three recipients will be announced at the CNS Annual Awards Banquet on Saturday, May 10. Posters from competition finalists will be featured at the on-site Expo and are encouraged to be uploaded to the CNS Virtual Poster Expo.


15. How are the Oral & Poster Competition finalists, and the Flash Presentations, determined?

Each submitted abstract will undergo a blind review by at least two reviewers from the Awards Committee or review sub-committee, using established ranking criteria. For further details, refer to the CNS Review and Abstract Competition Process.


16. What are Flash Presentations?

CNS is introducing 3-minute Flash Presentations as a pilot project for the 2025 Annual Conference. These sessions give graduate student members with eligible abstracts a chance to present their research to delegates in a focused, 3-minute format. While there will be no Q&A, a Flash Presentation Board with QR codes linking to the Virtual Poster Expo will facilitate further discussion throughout the conference. Flash Presentations will be selected from eligible abstracts once the Oral and Poster finalists are chosen. During Abstract Submission, you can opt to be considered for select awards, including Flash Presentations. Three sessions will take place during the conference, with presenters notified of their time slots a few weeks in advance.


17. Will the "Nutrigraphic" Infographic Competition take place during the Annual Conference?

Yes, finalists in the "Nutrigraphic" Infographic Competition will take place during the Annual Conference. The top eight Nutrigraphics will be on display throughout the conference. The top three recipients will be announced at the CNS Annual Awards Banquet on Saturday, May 10.


18. When will the top three winners of the Oral, Poster and Nutrigraphic Competitions be announced?

The first, second, and third place recipients for the Oral, Poster and “Nutrigraphic” competitions will be announced during the CNS Annual Awards Banquet that will take place on Saturday, May 10. 

The finalists will be showcased via various CNS communications channels, as well as profiled during the CNS 2025 Annual Conference. Award recipients will be presented with their award prize during the CNS Awards Banquet.
