Call for Abstracts

You are invited to submit abstracts for poster presentation at the Canadian Nutrition Society (CNS) Annual Conference.

Please read all of the following carefully before submitting your abstract. 
 

SUBMISSION DATES & DETAILS

January 31, 2025 – 11:59PM ET - Abstract Submission Deadline (FIRM). All abstracts must be submitted by this deadline to be considered for publication in the Applied Physiology, Nutrition, and Metabolism (APNM) journal. After this time, the submission tool will be locked, and no further edits or submissions will be possible. Draft or in-progress abstracts must be submitted by the deadline. Abstracts submitted after January 31, 2025, 11:59 PM ET will NOT be eligible for awards or publication.

• Only current CNS members in good standing are eligible to submit abstracts. NOTE: If joining/renewing your CNS membership - Graduate and Undergraduate students will need to upload specific documentation to verify eligibility. Approval will take up to one business day. • The non-refundable abstract submission fee is $50.00 + tax CAD (Visa or MasterCard payments only). This fee will not be refunded under any circumstances (e.g., if your abstract is not accepted or if you fail to attend the conference) and separate from the conference registration fee, which will be required for presenting authors. Presenting authors of accepted abstracts must register to attend the full conference in-person.
• Abstracts must be submitted electronically via the online abstract submission form, which is accessible exclusively to CNS members. For questions regarding CNS membership, please contact membership@cns-scn.ca. For inquiries about abstracts, contact abstracts@cns-scn.ca.
• An abstract may be submitted if it has been previously presented but NOT published (e.g. you submit an abstract that has been previously presented at an institutional or local conference, as long as the abstract has not been published in a journal).
• All abstracts must reflect original data (not previously published).
• Systematic reviews and meta-analyses are acceptable submissions. Narrative reviews or proposal abstracts will not be accepted.
• Encore abstracts (previously submitted or published elsewhere) will be accepted for consideration during the 'Call for Late-Breaking Abstracts' only. The Call for Late-Breaking abstracts will be announced on February 14, 2025 and the submission deadline will be March 13, 2025. Please note that Late-Breaking/Encore Abstracts will NOT be eligible for CNS abstract awards or publication in APNM. Proposal abstracts and ongoing systematic reviews will only be accepted for submission during the late-breaking period.

March 12, 2025 -  Authors will receive their abstract review results via an email from CNS Annual Conference 2025. The email will have the subject line 'CNS-SCN Conference 2025 Participation Request' and will include further instructions for accepted authors.  Abstract award recipients, including Oral/Poster competition finalists and those selected for Flash Presentations, will receive further instructions regarding their poster presentation format in mid-to-late March.

ABSTRACT AWARDS

When submitting your abstract, you will be asked if you wish to be considered for select awards, which includes the possibility of being selected for a Flash Presentation. To be eligible for these opportunities, please follow the steps below. If you do not wish to be considered for any awards or competitions, your submitted abstract will only be considered for the Annual Conference Poster Program/Expo.

1. Review Awards Eligibility: Before submitting your abstract, carefully review the list of available awards to determine your eligibility. You will need to select the awards for which you wish to be considered during the submission process. Available awards include the Nutrition Graduate Student and Trainee Award, other related Abstract Awards, and the Equity in Nutrition Travel Award.  Note: Only abstracts entered into the Nutrition Graduate Student and Trainee Award are eligible for Flash Presentations. 
    
2. Indicate Your Interest: If your abstract qualifies, you must indicate your interest in being considered for an award by checking the appropriate box on the Abstract Submission Form. This selection must be made during submission and cannot be changed afterward.
    
3. Submit Required Materials:

• Ensure that all required materials, including supervisor information and a headshot (.jpg/.png), are uploaded during the submission process. These materials are essential for award consideration and will be used if you are selected as a recipient
• For the Equity in Nutrition Travel Award: You must also upload a signed letter from your supervisor and a 300-word Personal Statement of interest at the time of abstract submission. Please review the full details of this Travel Award opportunity carefully.

IMPORTANT REQUIREMENTS 

• Both the presenting author and their supervisor must be CNS members in good standing to be eligible for any awards.
• Supervisor contact information must be provided at the time of submission. Failure to provide this information will result in disqualification from award consideration.

Each submitted abstract will undergo a blind review by at least two reviewers from the Awards Committee or review sub-committee, using established ranking criteria. For further details, refer to the CNS Review and Abstract Competition Process. 

POSTER PRESENTATION DETAILS*

Attendance at the conference is mandatory for all presenting authors.

In-Person Poster Expo: Presenting authors of accepted abstracts are required to participate in the on-site Poster Expo* during designated viewing times.

Virtual Poster Expo: Participation is optional but encouraged. This platform allows for extended viewing and interaction with delegates before, during, and after the conference. New for 2025: Virtual posters will be eligible for the People’s Choice award, where delegates can vote for their favorite submissions.

REQUIRED ABSTRACT FORMAT

Please note that abstracts that do not follow the required format (detailed below) may be returned to the author for revision or rejected. The abstract submission fee is non-refundable.

• Abstracts must be submitted by the presenting author ONLY.  
• Presenting authors must submit using the email address associated with their CNS membership profile.
• Titles: Only capitalize the first word in the abstract title (other than proper nouns).
• Authors: Presenting authors must be listed FIRST in the list of authors. Authors' first and last names must be spelled out in full.
• Co-Authors: Co-Authors are listed in the order that they should appear in the journal of APNM.  Affiliation of co-authors must be completed in full, including Department, Institution, City, Province/State (abbreviated), Postal Code, and Country.
• The total word count for the abstract, including funding information, must not exceed 350 words (excluding the title). Although the funding information will be requested in a separate field on the submission form, it will still count toward the 350-word limit.
• The abstract must be written in English.
• Use standard abbreviation.  Place special or unusual abbreviations in parenthesis after the full word when it appears for the first time.
• Funding information will be requested on the abstract submission form and must be included as part of your submission.
• DO NOT include sub-headings, charts or tables in your abstract.  This level of detail is not used to evaluate the merit of your abstract.
• Errors, misspellings and incorrect abbreviations will NOT be corrected.
